    Sapphire HVAC Solutions Inc respects your privacy. We are a family owned air conditioning contractor, and the information we ask for is the information we need to answer your call, quote your job, show up at the right address, and follow up afterward. This policy explains what we collect, why we collect it, who we share it with, and the choices you have.

    This policy applies to our website at sapphirehvac.net, to our phone, text, and email communications, and to the service work we perform. By using our website or giving us your information, you agree to this policy.

    Who This Policy Covers

    In this policy, "we," "us," and "our" refer to Sapphire HVAC Solutions Inc, a Florida corporation operating under license CAC1824638. "You" and "your" refer to anyone who visits our website, contacts us, requests an estimate, or receives service from us. This policy works alongside our Terms and Conditions.

    Information We Collect

    • Contact details. Your name, mobile or landline phone number, email address, and the service address where the work will be performed. Billing address if it differs.
    • Job details. What is wrong with the system, the make, model, age, and serial number of your equipment, photos you send us, access notes, gate codes or lockbox instructions if you provide them, and your scheduling preferences.
    • Property and account details. Whether you own or rent, property manager or landlord contact if applicable, home warranty or insurance information if a claim is involved, and any maintenance agreement you sign up for.
    • Service history. Records of visits, diagnoses, parts installed, warranty registrations, invoices, and notes from prior work.
    • Communications. The content of your texts, emails, voicemails, form submissions, and chat messages with us.
    • Feedback. Reviews, survey responses, and referrals.

    Information we receive from others

    We may receive information about you from sources such as equipment manufacturers and distributors during warranty registration or claims, home warranty companies and insurers when a claim is involved, property managers or landlords who schedule work on your behalf, financing partners if you apply for financing, review platforms where you post about us, and advertising platforms that report which ad or search brought you to us.

    Information Collected Automatically

    When you visit our website, some information is collected automatically by our servers and by the tools we use. This may include your IP address, approximate location based on that IP address, browser and device type, operating system, referring website or search term, pages you viewed, how long you stayed, and the links you clicked.     Text Messages and Mobile Information

    SAPPHIRE HVAC SOLUTIONS INC may collect your phone number and SMS consent to send messages for customer service, estimates, appointment updates, and promotional messages when separately authorized. SMS opt-in consent and phone numbers are not sold, rented, or shared with third parties for marketing purposes. You can reply STOP to unsubscribe or HELP for assistance. We use reasonable security measures to protect your personal information.

    When you give us your mobile number and agree to receive text messages, we collect and store that number, the record of your consent (including the date, time, and method), and the messages exchanged between us. Consent may be given through a form on our website, verbally over the phone or in person, on a written or printed service document, or by texting us first.

    What we send

    Missed call responses, appointment confirmations and reminders, service and account updates, review requests, and promotional messages such as offers, discounts, and seasonal maintenance reminders. Message frequency varies. Message and data rates may apply.

    How your mobile information is shared

    No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service and messaging platform providers, is permitted. All other use case categories exclude text messaging originator opt-in data and consent, and this information will not be shared with any third parties.

    Put plainly: your phone number and your text messaging consent are not sold, rented, traded, or handed to anyone else so they can market to you. The only parties who touch that data are the vendors that help us actually send and manage the messages, and they are only allowed to use it to provide that service to us.

    How to stop receiving texts

    Reply STOP to any message from us. You may also reply UNSUBSCRIBE, CANCEL, END, or QUIT. You will get one final message confirming you have been unsubscribed, and we will stop sending texts to that number unless you sign up again. To rejoin, reply START, text us, or call us at (305) 619-1363.

    A note on carriers

    Carriers are not liable for delayed or undelivered messages. Message delivery depends on your carrier and your device, and is not guaranteed.

    Phone Calls and Recordings

    We keep records of calls to and from our business number, including the number, date, time, and duration. Calls may be recorded or monitored for quality, training, and recordkeeping purposes where permitted by law, and we will disclose recording as required. If we cannot answer your call, our system may send you an automated text so we can follow up. If you do not want to receive that text, reply STOP.

    How We Share Information

    We share information only where it is needed to run the business or where the law requires it. That may include:

    • Service providers. Companies that work on our behalf, such as our customer relationship and messaging platform, phone and texting providers, email delivery services, scheduling and dispatch tools, website hosting, payment processors, bookkeeping and accounting services, and IT support. They may only use the information to provide services to us.
    • Technicians and subcontractors. The people performing or assisting with your job need your name, address, contact number, and job details.
    • Manufacturers and suppliers. For warranty registration, warranty claims, parts orders, and rebate processing.
    • Home warranty companies, insurers, and property managers. Where they are involved in authorizing or paying for the work.
    • Financing partners. If you apply for financing, the information you submit goes to that provider under their own privacy policy.
    • Permitting and inspection authorities. Where a permit or inspection is required for your job.
    • Professional advisors. Attorneys, accountants, and insurers, when reasonably needed.
    • Legal and safety. Where we believe disclosure is required by law, subpoena, or court order, or is necessary to protect our rights, our property, or someone's safety.
    • Business transfer. If the business is sold, merged, or reorganized, customer records may transfer as part of that transaction, subject to this policy.

    Mobile opt-in data and text messaging consent are excluded from all of the above except the support service providers that help us send the messages. See Section 5.

    We Do Not Sell Your Information

    We do not sell, rent, or trade your personal information to third parties for their own marketing. We do not sell your phone number or email address to lead brokers, list buyers, or other contractors.

    Advertising, Analytics, and Cookies

    Our website uses cookies and similar technologies. Some are necessary to make the site work. Others help us understand how the site is used and measure whether our advertising is working.

    We may use analytics and advertising tools from providers such as Google and Meta. These tools may set cookies or use pixels to record that you visited our site, so we can show you our ads later on other websites, in search results, or on social media. This is commonly called remarketing or retargeting. These providers may combine that information with data they already hold about you, under their own privacy policies.

    Opting out of personalized ads does not stop you from seeing ads. It changes how they are targeted.

    Reviews, Photos, and Testimonials

    If you leave a public review or send us written feedback, we may display or repost it on our website, social media, and marketing materials, along with your first name and general location. We may photograph equipment and completed work for documentation, warranty, and quality purposes. Photos that identify your home or property are not published without your permission. You can ask us to remove content you gave us by contacting us, and we will make reasonable efforts to do so, though we cannot remove content posted on platforms we do not control.

    Payment Information

    Payments are handled by third party payment processors. Full card numbers and bank account details are entered with the processor and are not stored on our systems. We generally retain a record of the transaction, such as the amount, date, payment method type, and the last four digits of the card. Processors handle your payment data under their own privacy and security policies.

    How Long We Keep Information

    We keep information for as long as we need it for the purposes described in this policy, and after that for as long as required for legal, licensing, warranty, insurance, tax, and accounting reasons. Service and invoice records are typically kept for several years, because warranty claims and permit questions can come up long after a job is finished. Records of text messaging opt-ins and opt-outs are kept as long as needed to honor your choice and to show compliance. When we no longer need information, we take reasonable steps to delete it or render it unreadable.

    How We Protect Information

    We use reasonable administrative, technical, and physical safeguards to protect the information we hold, including access controls, password protection, encrypted connections on our website, and limiting access to the people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please avoid sending sensitive information such as full card numbers or government ID numbers by text or email.

    Your Choices

    • Text messages. Reply STOP to any message from us, or call or email us and ask to be removed.
    • Promotional email. Use the unsubscribe link at the bottom of the email, or contact us. We may still email you about an active job or an unpaid balance.
    • Phone calls. Ask us to stop calling for marketing purposes and we will honor it. We may still call about a scheduled appointment or an open job.
    • Your information. You can ask us to correct information that is wrong, or ask what we have on file.
    • Deletion. You can ask us to delete your information. We may need to keep some records for legal, warranty, tax, or dispute related reasons, and we will tell you if that is the case.
    • Cookies and ads. See Section 9.

    To make a request, contact us using the information in Section 20. We may need to verify your identity before acting on a request, and we will respond within a reasonable time.

    Your Privacy Rights

    Depending on where you live, state or federal law may give you specific rights regarding your personal information, such as the right to know what is collected, the right to request correction or deletion, the right to opt out of certain sharing for targeted advertising, and the right not to be treated differently for exercising those rights. Some of those laws apply only to businesses above a certain size, so they may not apply to us. Either way, we will make reasonable efforts to honor requests described in Section 14 from any customer who asks, whether or not a particular law requires it.

    Under Florida law, you may also have rights relating to construction records and liens for work performed on your property. Those are addressed in our Terms and Conditions and in the documents for your specific job.

    Children's Privacy

    Our website and services are meant for adults. We do not knowingly collect personal information from children under 13, and our text messaging program requires you to be at least 18. If you believe a child has given us personal information, contact us and we will delete it.

    Third Party Websites

    Our website and messages may link to sites we do not control, such as manufacturers, financing providers, payment processors, review platforms, and mapping tools. This policy does not cover those sites. We encourage you to read their privacy policies before sharing information with them.

    Do Not Track

    Some browsers offer a "Do Not Track" signal. There is no common industry standard for how to respond to it, so our website does not currently respond to those signals. The choices in Section 9 and Section 14 remain available to you.

    Changes to This Policy

    We may update this policy from time to time. When we do, we will change the "Last Updated" date at the top of this page and post the revised version here. If we make a significant change to how we handle your information, we will take reasonable steps to notify you. Your continued use of our website or services after an update means you accept the revised policy.
